Bilingual Executive & Personal Assistant

Family Office (International), Remote/Ibiza

Our client, an international businessman and UHNWI who spends extended periods in Ibiza, is looking for an Executive and Personal Assistant who can provide comprehensive support to both global business and personal interests. This will also involve working closely with a wider Family Office.

Responsibilities include (but are not limited to):
EA Duties:

  • Complex agenda management across time zones, including coordination of Board Level meetings and wide array of professional commitments
  • Rescheduling and prioritisation according to business objectives and personal preferences
  • Inbox (multiple) management and filtering. Prioritising and deflecting with tact, preparation and responses to correspondence accordingly and according to necessary protocol
  • Global travel management/logistics for individual and wider family (often subject to last minute change)
  • Act as a key facilitator for business and personal needs. Develop close working relationships with a wider Family Office team
  • Follow up with stakeholders for various business and personal interests
  • Work in conjunction with wider Family Office team (based internationally) coordinating across time zones

PA & Local (Ibiza based) duties:

  • Coordinate and assist with local administration and necessary paperwork and payments for residence, vehicles etc.
  • Assist with household administration (cleaning, utilities, alarm system, repairs, relevant insurance policies, sourcing items for property, etc.)
  • Recommend local services, coordinate and onboard if necessary
  • Coordinate with housekeeper and local staff
  • Organise local appointments (restaurant bookings/local plans with personal preferences in mind)
  • Assist with management of global properties alongside wider Family Office
  • Personal interests: sourcing, purchasing and managing of personal collections (transport, insurance, etc.)
  • Assist with basic language translation

Candidates must have a bilingual level of English/Spanish (the role will be conducted in English but requires Spanish for local administration). A relevant University degree will be viewed favourably as well as previous experience supporting a business owner/Board level professional.

The ideal candidate will be an assertive individual with excellent communication skills (they will have the ability to work remotely with a global team). They will be proactive, flexible, able to work independently and enjoy a wide array of tasks.

Location – Remote (with occasional on site trips to Ibiza)
Salary – €65,000-75,000
Timetable – Full time, flexibility required
Hybrid/On site: Predominantly remote with occasional visits to family home
Travel – Ibiza day trips (if not Ibiza based) and potential opportunity to travel to Dubai and USA if so desired
