Bilingual Personal Assistant to CEO
Creative Tech, Madrid
Our client, a global creative tech platform, is looking for a top of class Bilingual Personal Assistant who can provide global executive and personal support, while also support the Madrid based team with light office management.
The remit for this position is wide with responsibilities including (not limited to):
Strategic Calendar & Travel Management
- Ownership of ever-changing global calendar: manage conflicting appointments and using keen judgement, taking strategic priorities and high impact activities into account
- Anticipate/pre-empt challenges before they arise and deliver solutions instantly
- Complex, point to point travel management across global geographies, often subject to last minute changes. Always bearing particular preferences in mind
- Scheduling meetings and events with multiple participants across global time zones & geographies
- Prioritising, deflecting with tact and understanding both the short and long term impacts of each confirmed, declined and rescheduled meeting
- Work closely with the Chief of Staff to ensure the Executive is fully prepared for engagements with briefing notes, decks, etc.
- Constant liaison with Chief of Staff to ensure cohesion
Personal and Local Administration
- Provide day-to-day lifestyle support to ensure comfort and efficiency
- Support with personal appointments, errands and reservations
- Act as interpreter/liaison for Spanish language situations (government offices, service providers, suppliers, etc.)
- Handle personal and administrative matters related to living in Spain (e.g. property management, healthcare, utilities, official documentation)
- Assist family members with administrative and logistical needs
- Operate with the utmost discretion and confidentiality at all times
Local Office Management
- Act as the primary local point of contact for internal teams visiting Madrid
- Oversee the smooth running of the Madrid operation (supplies, vendors and service providers, maintenance, building management, workspace readiness)
- Support onboarding logistics for new Madrid-based employees (e.g., desk setup, access passes, equipment)
This position will be conducted entirely in English, whilst knowledge of Spanish is required for local liaison. 7-10 years proven experience as an Executive Assistant to a C-Level Executive in a global setting is a prerequisite for this position. Exposure to a fast growth or technological background is highly advantageous. Complete digital literacy required.
The ideal candidate will be perceptive, intuitive, warm and will operate with a high level of efficiency. They will be a strong communicator who is able to deliver and enjoys the nuances of working in changing environments. This candidate is comfortable liaising with international offices and working across timezones, always operating with extreme responsiveness and flexibility.

WFH – Possible when CEO is travelling
