Bilingual Executive Assistant To Chairman

International Firm, Madrid

Our client, a prestigious international firm with presence in 5 countries, is looking for an outstanding Bilingual Executive Assistant to support the Executive Chairman.

 

Acting as the “right hand” of this busy Chairman, responsibilities (among others) will include: 

  • Seamless organisation of rigorous professional and personal agenda (often subject to last minute changes)
  • Proactively anticipate the needs of the Chairman, learning his preferences and incorporating these into all aspects of his day-to-day routine (80% workload)
  • Anticipating and managing schedule conflicts, rescheduling calendar according to business priorities
  • Act as key point of contact and developing rapport with current and potential clients
  • Develop relationships with Executive Assistants of clients to facilitate scheduling
  • Schedule meetings, teleconferences and videoconferences across time zones & geographies
  • Prepare materials/briefs, occasionally take precise minutes for meetings (C-level), and prepare summaries for Chairman
  • Weekly travel arrangements (flights, transfers, visas, passports) 
  • Support in draft and/or review written communication, presentations
  • Scheduling of committees and boards assistance and documentation
  • Close liaison with Family office to ensure the smooth running and coordination of private and professional agendas
  • Expense reports, reconciliation of credit card statements
  • Manage all administrative tasks for the Chairman to allow this individual to focus on driving the business forward



Candidates must have a bilingual level of English/Spanish, a relevant University degree and solid grasp of standard Tech and applications (Office, GSuite, Zoom, Slack, CRM software etc.). It is essential that candidates hold a minimum of 10-15 years’ experience supporting a Senior Partner or C-level Executive in a client facing/investor relations capacity.

 

The ideal candidate will be of sound judgement and will practice discretion and judgement when presented with sensitive company and personal information. They must be a personable individual and fully understand the importance of developing lasting business relationships.
