Bilingual Executive Assistant
British Law Firm, Madrid
Our client, a well regarded British Law firm, is currently looking for a proactive Executive Assistant to provide comprehensive support to various partners across practice areas in their Madrid office.
Responsibilities (among others) will include:
- Proactive agenda management for partners and team, acting as gatekeeper of time and prioritising accordingly
- Amending legal documentation (track changes) and formatting documents (proposals, pitches, etc.) according to house style
- Constant liaison/teamwork with other Assistants and support professionals
- Preparing documentation for meetings and following up with necessary edits/amendments
- Opening matters on the system and elements of project management (ensuring all instructed projects are running on track, that all updates/information is logged appropriately and follow up accordingly)
- Managing timesheets/billable hours, coordinating with necessary teams for billing and providing follow up
- Knowledge management: archiving documentation appropriately (physically and electronically)
- Point to point travel management for partner and team (flights, accommodation, visas)
- Expense reports for team
- Maintain client contacts, ensuring all information is logged and up to date
- Handle confidential matters with integrity and discretion
Candidates must have a bilingual level of English/Spanish in order to converse with the international offices. A relevant University degree or secretarial studies will be viewed favourably whilst a solid grasp of relevant tech (Microsoft Office Zoom, Slack, VC software, etc.) is required. Previous experience in a legal background is preferable.
The ideal candidate will be diligent, a fast learner and will enjoy working in a stable, deadline driven environment. They should bring a positive presence to the office and team.

Salary – Dependent on experience + Benefits
