Bilingual Executive Assistant

Asset Management, Madrid

Our client, a recognised firm and leader in asset management, is seeking a highly capable Bilingual Executive Assistant to assist their growing team in Madrid. 

The responsibilities for this role include (but are not limited to): 

  • Manage complex calendars for Director and the wider team, anticipating conflicts and prioritising effectively
  • Coordinate internal and external meetings across multiple time zones, ensuring prompt communication and flexibility
  • Liaise with clients and build strong relationships to streamline scheduling
  • Handle detailed, multi-leg travel arrangements including flights, visas, hotels and transfers; proactively manage documentation and provide accurate itineraries in line with company policy for all team members
  • Prepare, edit and proofread professional documents, presentations and client materials
  • Maintain up-to-date client records, update the CRM and ensure all documentation is correct and of the firm’s regarded quality 
  • Support client and team events from planning and organising through to execution (coffee mornings, offsites, etc.)
  • Manage administrative tasks including invoice processing and credit card reconciliations
  • Provide cover for fellow Executive Assistants during absences

 

Candidates must have a bilingual level of English/Spanish and ideally hold a relevant University degree. A solid grasp of standard Tech and applications (Office, Google Workspace, Zoom, Slack, CRM software, etc.) is required. It is essential that candidates hold a minimum of 3 – 4 years’ experience in a related role. Financial services (all areas) or consulting backgrounds are preferred. 

This role requires someone who is proactive and highly detail oriented. Someone with a high degree of organisational skills who needs minimal supervision will perform best in this environment. The ideal candidate is someone who has worked in international offices before and has no problem collaborating with other EAs. They will be comfortable communicating with clients and can be entrusted to revise important outgoing documents and communications. 

Location – Madrid, Barrio Salamanca

Salary – Between €35,000 – €45,000 (depending on seniority) + Bonus 

Timetable – Full time, flexibility for peak workloads required  

Contract – Permanent

Incorporation – Q4 2025

Hybrid/On site – Predominately on site with potential for 1 ½ days WFH once trial period complete
