Bilingual Executive Assistant

Our client, a well known international Executive Search firm, is currently seeking a highly capable Bilingual Executive Assistant to support Consultants and their respective search assignments.
The responsibilities (among others) will include:
- Own all administration of the search mandates for consultants
- Manage diaries across time zones, schedule meetings and interviews
- Coordinate complex meetings and interviews (Board level individuals, Presidents, C-Suite and relevant stakeholders)
- Act as key point of contact for all administrative needs during entire process
- Assist with preparation of high quality executive reports and client deliverables in English and Spanish
- Assist with preparation of engagement letters, NDA or necessary documentation
- Project management: Track ongoing projects and mandates from initial contact to completion, ensure CRM updated accordingly
- Knowledge management: Maintain CRM and ensure all updates are registered in a timely manner
- File and compile necessary candidate documentation and information for references/background checks etc.
- Process consultant expenses, manage client invoicing support with any necessary financial reporting and follow up on unpaid invoices (coordinate with finance team)
- Collaborate closely with wider team to ensure consistent service standard
- Receiving visitors for high profile meetings
- Gatekeeping and international call filtering
- Ad hoc support
Candidates communicate with a bilingual level of English/Spanish, hold a relevant University degree and handle standard Tech with ease (Office, GSuite, Zoom, Slack). AI prompt curiosity/literacy valued. It is essential that candidates hold a minimum of 5-6 of experience supporting a senior principal in a professional services environment. Executive Search and Management Consulting experience will be considered favourably.
The chosen candidate will be highly organised and able to anticipate requirements rather than solely respond to them. They will be able to manage competing priorities whilst also consistently delivering quality work during peak work periods. It’s essential the chosen candidate is able to manage sensitive information with absolute discretion.
Location: Madrid
Salary: Circa €40,000 – €45,000 + Bonus + Benefits
Timetable: 09.00 – 18.00 Full time
WFH – one day per week (Friday) once trial period complete
Incorporation: Q4 2026
Contract: Permanent (subject to established trial period)
