Bilingual Personal Assistant

Private Family, Alicante

Our client, a prestigious Family Office, seeks a discreet Bilingual PA & Property Manager to provide dedicated support to a busy, high profile family with a broad portfolio of properties. 

Personal Assistant:

  • Proactively manage the personal agendas of family members, anticipating needs and ensuring all commitments are coordinated seamlessly
  • Support with personal administrative tasks including correspondence, appointments and other requests as they arise
  • Handle all travel arrangements for the family (including extended family) from sourcing destinations and accommodation to booking flights and managing all associated logistics and documentation
  • Coordinate all personal purchases with care and discretion, including trusted sourcing, international shipments and customs documentation
  • Manage healthcare appointments and relationships with preferred medical professionals
  • Project management: manage projects simultaneously and flexibly, oversee timelines and follow up to ensure timely completion
  • Coordinate private and professional events including family gatherings, foundation events and dinners, overseeing all logistics and ensuring protocol is observed throughout
  • Ad hoc requests for individual and wider family as required 

Household & Properties:

  • Oversee the management, upkeep and readiness of the family’s properties across multiple locations in Spain, travelling to them when necessary
  • Ensure each property is immaculately maintained and prepared for occupation, coordinating furniture, soft furnishings, maintenance, etc. 
  • Manage the rental coordination of applicable properties, including listing management, tenant screening and selection (using sound judgement) 
  • Coordinate all maintenance, repairs and any refurbishments across properties
  • Oversee relationships with all property related suppliers, ensuring consistent standards are upheld
  • Support the management of the family’s art collection, including insurance, condition monitoring, transport logistics and sourcing
  • Liaise closely with the family’s domestic staff, acting as a key point of contact and ensuring household standards are maintained at all times
  • Support with the recruitment and onboarding of household staff as required
  • Ensure the smooth running of the household in line with the principals’ preferences and expectations (an understanding of formal table setting, service standards, care of artwork and fine objects favourable) 

 

Candidates will ideally have a bilingual level of English/Spanish whilst additional languages will be viewed favourably. A relevant University degree previous experience either in a Private Family Office, as a Private PA or luxury hospitality is preferred. Proficiency with standard Tech (Microsoft 365, VC Software, Slack, etc.) required. Familiarity with protocol as well as appreciation of art and interiors is advantageous. 

 

The ideal candidate will be flexible, resilient and enjoy a position with a truly elastic remit. They will be calm, well organised, able to build trust and exercise sound judgement. Utmost discretion and strict confidentiality are also paramount for this role. 

 

Location – Alicante   

Salary – Competitive 

Timetable – Normal office hours however complete flexibility required

On site – Mix of working from residence, office and travel to properties in portfolio

Travel – Occasional national trips
