Bilingual EA to Executive Chairman and Senior Management

Our client, a rapidly expanding Tech firm who provide solutions for various sectors, is currently looking for a highly experienced Bilingual Executive Assistant to support the Executive Chairman and Senior Management team.
The remit for this position is fairly elastic, however predominately includes:
- Manage a frequently changing agenda for the Executive Chairman and Senior Management, ensuring seamless coordination across global time zones (USA, Middle East, Asia)
- Anticipate urgent and strategic needs, build in buffers within diary for unexpected changes, react swiftly to last-minute occurrences whilst exercising sound judgement at all times
- Coordinate complex international travel (multi-stop itineraries), including flights, hotels, security requirements, visas and passport management
- Liaison and relationship/rapport building with internal/external stakeholders, including government bodies and strategic partners
- Inbox management: Screening, filtering and prioritisation of emails and calls. Act as gatekeeper and key liaison between business areas for Chairman
- Ensure Chairman and Senior Management are well prepared for meetings, compiling and distributing relevant information and materials prior and post meetings
- Ensure that all deadlines are met and monitor schedules associated with the Chairman’s commitments
- Prepare and organise board meetings, executive meetings and high-level events (with support from the Office Manager)
- Produce and proofread high-quality documentation, presentations, briefs and reports (English and Spanish)
- Ensure confidentiality and discretion when handling sensitive data, including classified or restricted information
- Approximately 20% of remit covers Private PA duties: personal appointments, travel, household coordination and liaising with trusted service providers
Candidates must be bilingual in English and Spanish (spoken and written) and a relevant University Degree is preferred. A minimum of 8-10 years of experience supporting C-level Executives, Chairman/President or business founders is required (ideally in international, high-growth/fast-paced environments and with over 500 employees). Candidates will be able to manage standard Tech with ease (Microsoft Office, VC, Slack) whilst also grasp new technologies quickly.
The ideal candidate will be resourceful, a strong communicator, completely trustworthy and able to switch gears quickly to keep up with the pace the Chairman favours working at. A strong business acumen will stand the chosen candidate in good stead in order to fully understand and support the company’s direction of travel.
Location – Madrid
Salary – Dependent on experience
Timetable – 7.30/9.30 – 17.00/19.00 (Fridays: 7.30/9.30 – 13.00/15.00)
Hybrid – 1 day WFH
Contract – Permanent
