Bilingual EA & Office Manager

Investment Firm, Madrid

Our client, a boutique investment firm, is looking for a proactive Bilingual Executive Assistant & Office Manager who can provide administrative support for their busy Managing Director and hardworking team.

 

Responsibilities (among others) include: 

Executive Assistant (60% of workload)

  • Agenda management for Managing director & team: anticipate schedule conflicts and prioritise with business interests in mind
  • Complex travel management for Managing Director and team, (taking preferences into account) domestic and international
  • Act as key contact with clients, providing constant follow up to ensure items actioned  
  • Preparing and reviewing documentation and contracts for signature
  • Inbox management: Screening, filing, and prioritising emails and calls
  • Preparing presentations, proposals and letters 
  • Expenses, reconciliation of credit card statements and proper filing of documentation 
  • Ensuring databases are kept up to date
  • Ad hoc tasks as required (personal tasks) 

Office Manager (40% of workload)

  • Office purchases according to budget 
  • Organising Corporate Events
  • Compliance: Ensuring firm adheres to European data protection regulation 
  • Facilities & supplies: point of contact for building, cleaning, insurance, etc. 
  • Health & Safety: Ensuring office is compliant 

 

Candidates must be entirely bilingual in English/Spanish, have a University Degree and manage standard Tech with ease. Candidates should have previous experience as an Executive Assistant at least 3/4 years’ experience, ideally in an investment, consulting, or legal environment.

 

The ideal candidate will be positive, organised, resourceful and will be able to take initiative.

 

Location – Madrid, Castellana

Salary – Dependent on experience

Timetable – 09.00 – 18.00h

Contract – Permanent (subject to trial period)

Incorporation – Immediate
