Bilingual Receptionist
Private Equity, Madrid
Our client, a top tier global Private Equity firm, is currently looking for a bright Bilingual Receptionist to support their well-regarded Iberian team.
Responsibilities (not limited to) include:
- Acting as the first point of contact for the firm, greeting clients (portfolio firms, co investors, etc.) and ensuring they are well looked after.
- Managing meeting room bookings and logistics for both internal and external meetings, including: - Preparing meeting rooms (stocking drinks/stationery, ensuring cleanliness, etc.).
- Ordering catering and arranging transfers if needed
- Printing and binding documents/presentations
 
- Responsible for responding to the front office email address and slack channel.
- Assisting the global Workplace team with various projects and discussions as needed.
- Liaising with suppliers and following up on orders:- Managing office supplies and addressing shortages as needed
 
- Supporting the office finance activities by managing office expenses/invoices and uploading to Rydoo (expense management system)
- Managing incoming calls
- Incoming and outcoming mail management
- Keeping “Reception Guidebook” and all other relevant documentation up to date.
- Collaborating with Assistants/staff in other European offices, acting as key contact for administrative needs
- Overseeing office premises to ensure everything is functioning properly and maintaining an optimal workplace environment. Performing various office duties to support business operations
- Conducting regular office walkthroughs to ensure a safe and compliant workspace, identifying and addressing hazards. Ensuring adherence to health and safety policies and procedures, proactively addressing any non-compliance. Coordinating mandatory health and safety checks, risk assessments, and necessary office adjustments
Candidates must be bilingual in English/Spanish, be numerate and adept with tools such as Microsoft Office, Google Workspace, Slack and Zoom. Candidates should have at least 2/3 years’ previous experience in a similar role. Experience in the financial services will be considered beneficial but is not essential.
The ideal candidate will be personable, able to take the initiative and be able to work independently in a high-performance environment. They will enjoy working for a team with a global dynamic and international interaction.

Location – Madrid
Salary – Dependent on experience + Bonus + Exceptional benefit package
Timetable – 9.00 – 18.00
