Bilingual Personal Assistant to HNWI

Family Office, Palma, Mallorca, Spain

Our client, a pair of international HNWIs based between various European countries, are seeking an experienced individual to assist them in a Personal Assistant capacity from their newly established Mallorca office.

 

Responsibilities will include:

  • Acting as key point of contact, liaising with staff and stakeholders on their behalf
  • Coordinating personal agenda and logistics, acting as gatekeeper of time
  • Communication: preparing responses, confirming/declining event attendance, actioning voice note notes
  • Organising point-to-point international travel (flights, drivers, visas, passports). The HNWIs spend 60% of time travelling. Often subject to last minute changes
  • Assisting with managing various households (liaising with domestic staff, managing utilities, ensuring bills are paid, maintenance, repairs, security, insurance and vehicles, sourcing items for property, monitoring household upgrades)
  • Expense reports, credit card statements and point of contact with corporate team for legal and tax requirements
  • Maintaining health records, filing and managing doctors’ visits. Ensuring insurance policies up to date and are paid
  • Assisting with management of personal finances (international accounts)
  • Online shopping and sourcing of items for households, personal shopping, following deliveries, returns, etc.
  • Coordination and liaison with corporate team regarding business interests
  • Assist with personal IT support (set up of devices, electronic documentation transfer, filing, device update)

 

 

Candidates must have a bilingual level of English/Spanish (the working language will be English, however Spanish is required for local needs). Knowledge of German is also favourable. A relevant University degree will be valued and at least 5 years’ experience in a fast-paced environment. The chosen candidate must be Tech Savvy and able to handle standard apps with ease (Mac/PC, Excel/Pages, VC Software, G Suite). Previous experience working for an international individual or family required.

 

The ideal candidate will be resourceful, personable and be able to pre-empt/think two steps ahead. An organised “go getter” who enjoys making the impossible possible is the ideal candidate for this role. Full clean driving license required.

 

Hybrid role to be conducted on site and remotely.

 

Location – Palma, Mallorca

Timetable – Full time Flexibility required, (very occasional flexibility for travel required)
Incorporation – Q2/Q3 2024

Contract – Permanent (subject to trial period)
