Bilingual Executive Assistant

Global Financial Services, Madrid

Our client, a leading global Financial Services firm is currently looking for a Bilingual Executive Assistant to provide support to Senior Executives.

The remit includes but is not limited to:

  • Rigorous calendar management for Senior Execs 
  • Coordination of complex multi-participant meetings across global time zones (flexibility regarding timetable required to ensure timely responses)
  • Anticipate and resolve scheduling conflicts, reschedule calendars according to priorities and using sound judgement 
  • Heavy travel and roadshow coordination, logistics for multi-stop international trips. Work directly with a travel agency for flights, hotels, car services, transfers etc. 
  • Act as key contact and build rapport with key stakeholders and global team 
  • Oversee timelines, checklists and action tracking
  • Prepare documentation and correspondence (reports, decks, NDAs,) in appropriate formats and using suitable language  
  • Ensure all relevant documentation and transaction lists are up to date, regularly update internal CRM. Accurate data entry onto technology platforms as required
  • Ensure Senior Exec are correctly prepped for meetings with relevant materials (pitch decks, prep notes)
  • Reconcile credit cards within deadlines and submit multi-currency expense reports 
  • Handle sensitive information with absolute discretion
  • Ability to take on ad hoc project management of tasks if/when required
  • Work closely with team of Global Executive Assistants coordinating and stepping in to cover sickness/holiday etc. when necessary

The chosen candidate will be comfortable working entirely in English (Spanish “nice to have” for local office interaction but not essential). A solid grasp of standard Tech (Office, Google Workspace, Zoom, Slack, CRM software etc.) is required. It is essential that candidates hold a minimum of 4-5 years’ experience. Financial services (all areas) or consulting backgrounds are preferred/advantageous. 

This role requires someone who is comfortable working in a “first time right” environment and has the ability to be flexible beyond traditional working hours. A proactive individual who is able to exercise independent judgment and foster collaboration with both local and global EAs is well suited for this position. The successful candidate will enjoy working in an environment that combines a local and global approach and ensures best practice is always upheld, despite large volumes of work and shifting priorities.

Location – Madrid, Barrio Salamanca 

Salary – Competitive + Benefits + Discretionary Bonus

Timetable – 09.00 – 18.00

Contract – Permanent

Incorporation – Q1 2026

Hybrid/On site – Option for 1 day of wfh per week once trial period complete
