Bilingual Executive Assistant
Asset Management, Madrid
Our client, a leading player in the financial services sector, is looking for a highly dedicated Bilingual Executive Assistant to provide support to multiple Managing Partners and Directors in Madrid.
Responsibilities (among others) will include:
- Extensive diary management. Anticipating and managing schedule conflicts across multiple timezones, rescheduling calendars according to strategic priorities and business objectives and using good judgement and initiative to prioritise effectively
- Strategic coordination of internal/external meetings/videocalls with multiple participants based across differing geographies and time zones
- Manage all meeting logistics including booking conference rooms, greeting international visitors, printing of materials, ordering of food, etc. Participate in meetings as needed, tracking and following up on action items
- Complex travel organisation and logistics: flights, hotels, visas transfers etc. often subject to last minute changes and to multiple destinations. Proactively manage visa and passport requirements, arrange security and provide detailed itineraries
- Preparing documentation and correspondence (reports, decks, NDAs,) in appropriate formats and using suitable language
- Foster collaborative relationships with the other EA’s both in the office and internationally for clear division of office tasks, providing team and back up coverage and build rapport to facilitate scheduling
- Reconcile credit card charges and submit multi-currency monthly expense reports for the team when required
- Assist in planning office social events and offsites, creating clear proposals and tracking the event at all steps
- Ad hoc support tasks as and when required by team
Candidates must have a bilingual level of English/Spanish and a relevant University degree is a positive. A solid grasp of standard Tech and applications (Microsoft Outlook, Word, and PowerPoint) is required. Experience with Concur payment management is also highly favourable. It is essential that candidates hold a minimum of 5 years’ experience ideally in financial services or consulting.
The chosen professional will be able to seamlessly support multiple team principals, exercising good judgement and timely execution. They are able to demonstrate initiative, resourcefulness and urgency when appropriate. They must possess flexibility and adaptability to manage changing work requirements and varying volumes of work. This is a high performance, international environment where consistent accuracy and best practice are essential. The ideal candidate maintains a high level of discretion and professionalism as well as lends flexibility when required. This role calls for quarterly visits to their London headquarters.
