Bilingual Executive and Personal Assistant

Our client, our prominent figure in sports, is looking for a Bilingual Executive Assistant and Personal Assistant. This position will be undertaken from the Madrid residence and will involve liaising with professionals across global locations.
The remit includes but is not limited to:
- Manage rigorous diary (can include family diary) with frequently changing requirements. Engagements range from local requests to meetings across global timezones (business meetings, appointments, event attendance, restaurant bookings)
- Point to point travel management for individual (and family members if needed) transfers, travel
- Close coordination with dedicated team and management firms
- Act as a key facilitator for needs (local and global). Local errands if needed
- Overseeing smooth running of Madrid household, overseeing daily operations and working closely with dedicated team of staff (liaising with domestic staff, managing utilities contracts, following up with local professionals, maintenance, repairs, security, insurance and vehicles, sourcing items for property if/when necessary)
- Ensure individual is correctly prepped for meetings and engagements
- Correspondence management: act as gatekeeper and respond to correspondence accordingly
- Act as lynchpin between various stakeholders, ensuring effective and correct information flow between parties
- Oversee timelines, checklists, and action tracking for any ongoing projects
- Act with utmost discretion and ensuring confidentiality maintained at all times
Candidates must have a bilingual level of English/Spanish, whilst additional languages such as French will be viewed favourably. Proven experience as a Personal Assistant is required, individuals with experience supporting an HNWI will be favoured. Knowledge of tech and relevant systems is also required. It’s essential that the chosen professional demonstrates responsibility and good judgement. The ideal candidate is proactive, flexible, and executes tasks with a keen attention to detail. This role is very fast paced with important responsibilities that may frequently change. Flexibility outside of traditional working hours is also required. Discretion is of the utmost importance for this role.
Location – Madrid, Pozuelo
Salary – Competitive
Timetable – Normal office hours however flexibility required
Hybrid/On site – Predominately on site. Potential travel if desired
Driving License required
