Bilingual Executive & Private Assistant
Tech Entrepreneur, Madrid
Our client, a highly dynamic Tech entrepreneur with a growing business portfolio and personal investments, is seeking an experienced Bilingual Executive & Private Assistant to provide seamless support across both corporate and private matters.
The remit for this position is fairly elastic, however predominately includes:
Executive Assistance (60%)
- Manage a frequently changing agenda across business and personal commitments, ensuring seamless coordination across time zones (mainly USA, Middle East)
- Anticipate needs, build buffers within the diary for unexpected changes, and react swiftly to last minute changes whilst exercising sound judgement
- Inbox management: screen inboxes, filter and prioritise emails and communications; act as gatekeeper when required
- Coordinate international travel, accommodation, transport, visas and documentation, often subject to last minute changes
- Prepare and organise meetings: ensure the Founder is fully briefed with prep notes for meetings. Research, compile and distribute materials and follow up with summaries and action points
- Liaise and build relationships stakeholders
- Monitor deadlines and commitments, ensure alignment across business priorities and personal obligations
Private Personal Assistance (40%):
- Coordinate personal agenda, appointments and day to day logistics
- Wide range of personal errands and ad hoc arrangements (restaurants, events, wellness, gifting, etc.)
- Liaise with service providers and handle personal administrative matters (insurance, documentation, household, maintenance etc.)
- Act as a central point of coordination across personal and business interests where required
Candidates must be bilingual in English and Spanish (spoken and written), and a relevant University Degree is preferred. A minimum of 5–7 years of experience supporting C-level Executives, Founders or Entrepreneurs in international, fast paced environments is required. Candidates will demonstrate strong experience managing dynamic schedules and international travel, alongside a strong command of standard Tech tools (Google Workspace, Slack) and curiosity to understand and implement AI tools. Candidates with experience in Tech/Startups are considered favourable.
A high level of business acumen as well as resilience is essential for this position whilst the ability to operate and adapt quickly within a fluid environment will stand the chosen candidate in good stead. This is an ideal role for an individual with a calm and composed approach. This role requires high flexibility and availability outside of fixed working hours.

Salary – Dependent on experience,
