Bilingual Office Manager
Private Equity, Barcelona
Our client, a boutique Private Equity/Investment Firm with offices across Europe is looking for a switched-on bilingual Office Assistant to support their small but busy team.
Among others, duties will include:
- Managing incoming calls and other communications
- Managing travel arrangements, including flights, hotels and other travel bookings for investment associates, in accordance with company protocol. Experience with the Perk platform is a plus
- Organising meeting rooms, welcoming visitors and ensuring they are well looked after
- Scheduling and coordinating meetings and events, as required
- Overseeing the maintenance of common areas, ensuring the office is kept in excellent condition at all times, and acting as the go-to person for administrative matters
- Coordinating office catering
- Filing and maintaining information and documentation, as necessary
- Managing invoices relating to office supplies and other office-related expenses
- Ensuring new hires have the necessary equipment upon joining
- Coordinating with other departments to ensure that internal policies applicable to the office space are properly implemented
- Providing support to other departments, as needed
- Liaising with service providers and suppliers, and following up where necessary (e.g. catering, stationery, building management, etc.)
- Collaborating with assistants and staff across other European offices, acting as a key contact for administrative matters
- Ensuring the office is adequately stocked with the necessary office supplies and kitchen essentials.
Candidates must be bilingual in English/Spanish (additional languages such as French, Italian and Catalan a plus), hold a credible University Degree, be numerate and adept with tools such as Microsoft Office. Candidates should have at least 2/3 years’ previous experience in a similar role. Experience in the financial, consulting or legal sectors viewed favourably.
The ideal candidate will be well presented, personable and responsible. They will pay attention to detail and enjoy acting as the first point of contact for this smart firm.
This position will be fully office based.
Location – Barcelona, Diagonal
Salary – Dependant on experience + Discretionary Bonus
Timetable – 09.00 – 18.00h
Contract – Permanent (subject to trial period)
