Bilingual Executive Partnerships Coordinator

International Foundation, Madrid

Our client, a leading international foundation, is currently searching for a Bilingual Executive Partnerships Coordinator who will play a crucial role in managing events, relationships and administration of the foundation.

Working very closely with the Head of Communications and Partnerships, the remit for this position will include: 

Protocol & Culture

  • Work closely with the team to design and execute flawless cultural, institutional and representative events that reflect the institution’s values
  • Ensure seamless execution and correct application of etiquette and protocol when liaising with public authorities, institutions and cultural partners
  • Coordinate guest lists, seating arrangements and details for high profile events 
  • Act as the key point of contact for protocol and cultural affairs 
  • Draft official communications, invitations and reports (English and Spanish)
  • Attend events, act as ambassador for the institution, always reflecting ethos and values  

Administration

  • CRM, database and network management: codify, organise and optimise information concerning partnerships and stakeholders to enable fast and accurate access to contacts and relevant information 
  • Maintain accurate record of events and monitor budget allocation
  • Develop systems for tracking interactions and strengthening relationships with key partners and stakeholders 
  • Ensure timely follow up 
  • Understand importance of diligent CRM input to leverage existing relationships, contacts and data  

Support to Chair and Directors

  • Logistics, planning, scheduling and follow up for events 
  • Seamless travel management and logistics, ensuring all Chair’s needs are met prior, during and post events 
  • Ensure Chair and Directors are adequately prepared for meetings, visits and ceremonies and briefed correctly 
  • Ad hoc personal support for Chair 
  • Handling personal information with utmost discretion and care 

This role will be undertaken in both English and Spanish and the chosen candidate must be a natural communicator. A relevant University degree, as well as proven experience are also prerequisites. Past experience in protocol, event management and executive support is advantageous. Working knowledge of standard Tech and applications (Microsoft 365, Zoom, Slack, etc.) required. 

The ideal candidate will be a self-starter who is meticulously organised as well as a natural communicator (ability to liaise with individuals and stakeholders from differing backgrounds). They will have a keen eye for detail and enjoy the mix of front office interactions, knowing how to “read the room” as well as back office tasks. This is an ideal role for a personable individual who blends a high EQ with rigour and diligent execution.

Location – Madrid

Salary – Dependant on experience

Timetable – Broadly 09.00 – 18.00h ( flexibility required for occasional evening/weekend event attendance and European travel)

Incorporation – Q4 2025

Contract – Permanent (subject to trial period)
