Bilingual Personal Assistant to Headmaster
British School, La Moraleja
Our client, a prestigious British school in Madrid, is seeking a dedicated and proactive Bilingual Personal Assistant to provide support to the Headmaster.
- Responsibilities include (but are not limited to):
Diary management: managing the Headmaster’s busy diary, scheduling meetings, school events and personal appointments (often subject to last minute changes) - Handling multiple inboxes and the Headmaster’s correspondence with complete professionalism and discretion
- Acting as a key point of contact and ambassador for the school, liaising with parents, prospective parents, staff and external stakeholders
- Facilitating seamless communication between the Headmaster and other school departments (mainly through slack channels), whilst also acting as a gatekeeper to protect time
- Guiding prospective parents around the school
- Organising and coordinating school events such as parent evenings, open days, and visits
- Supporting the admissions process, liaising closely with the admissions team, families and coordinating school tours
- Assisting with financial administration, including expense coordination with the bursar’s office
- Maintaining accurate records and managing documentation with precision
- Providing ad hoc assistance to wider team as required
- Representing the school professionally and upholding its core values at all times
Candidates must be entirely bilingual in English and Spanish (this requirement is non-negotiable). They will hold a strong University degree and manage standard Tech applications with ease (Mac, Numbers, Pages, Slack and Zoom). Other desirable but not essential criteria include previous work experience in a school office or as a PA. Previous exposure or experience of the British education system/curriculum is extremely favourable for this position.
The chosen candidate will be extremely organised, personable and responsible. They will have the ability to foster good relationships, move between tasks easily and be a strong team player. This, combined with a positive work ethic is essential due to the busy nature of the position and fluidity between roles. A strong affinity for working with children within a school environment is essential whilst impeccable discretion and judgment when presented with sensitive information is paramount.
Working within the school
The post holder is responsible for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact. S/He must adhere to and ensure compliance with the School’s Safeguarding Policies at all times. If in the course of carrying out the duties of the post the post-holder becomes aware of any actual or potential risks to the safety or welfare of the children in the School, s/he must report any concerns immediately to the School’s Safeguarding team.
Location – Madrid, La Moraleja
Salary – Competitive + Benefits (including extended school holidays)
Timetable – 09.00 – 18.00h
Incorporation – August 2025
Contract – Permanent (subject to trial period)
