Office & Team Assistant

Law, Madrid

Our client, a boutique legal firm, is looking for a proactive and detail oriented Office & Team Assistant who can provide administrative support to their team in Madrid.

Responsibilities (among others) will include:

  • Acting as the face of the firm, greeting visitors and telephone reception
  • International call filtering
  • PA duties for the Managing Partner (agenda management, travel logistics and expense reports)
  • Managing documentation (formatting, track changes, printing, binding, etc.)
  • Working with outsourced accounting firm (gestoría) for administrative needs (sending through payslips, invoices and accounting records)
  • Liaising with providers to ensure smooth running of the office
  • Ordering and managing office and kitchen supplies (stationary, etc.)
  • Preparing office materials & organising meeting rooms
  • Physical and electronic archiving
  • Organising catering and couriers
  • Ad hoc administrative tasks as required

 

Candidates must be comfortable working in Spanish, dominate the Microsoft Office package and relevant software (Zoom, etc.) hold a credible University degree and have ideally 2 years previous experience in an administrative role, preferably in a legal environment.

The ideal candidate will be resourceful, very well presented and comfortable liaising with clients. They should be able to work independently and be able to take the initiative.

Location – Madrid, Barrio Salamanca
Salary – Dependent on experience
Timetable – 9.00h – 18.30h / Friday: 9.00h a 15.00h
Contract – Permanent
Incorporation – Immediate
