Bilingual Executive Assistant

Multi-Family Office, Madrid

Our client, a Multi-Family Office who operates internationally and specialises in RE investment, seeks a skilled Bilingual Executive Assistant to provide support to the Managing Director and Investment Associate.

Assisting with daily operations, your responsibilities will include (but are not limited to):

  • Calendar scheduling and travel logistics, including organising documentation and coordinating reservations
  • Review and draft tailored contracts to meet business objectives
  • Monitor and track project progress, ensuring objectives are met within established timelines
  • Support transactions by liaising with relevant parties
  • Assist with invoicing, accounting and compliance tasks 
  • Address property enquiries and support quality assurance for renovation projects, associated with investment properties
  • Personal Assistance: provide personal support to the Managing Director, handling sensitive tasks with discretion and efficiency
  • Manage practical office needs, such as catering or meetings
  • Undertake any additional administrative duties deemed essential for the firm or team

 

Candidates must have a Bilingual English level and hold a relevant University degree. A minimum of 5 years of experience in executive support, project assistance, or administration is essential, with a preference for experience in Real Estate. The chosen candidate will be able to manage standard Tech (Microsoft 365, VC Software, Slack, etc.) with ease and be particularly adept with Excel in order to produce comprehensive spreadsheets.

The ideal candidate will be well organised and confident in managing multiple tasks independently. They will be able to liaise effectively with international and local stakeholders. A proactive attitude, attention to detail and resourceful nature are key. 

Location – Madrid 

Salary – Dependent on experience

Timetable – 9.00 – 18.00

Hybrid/Remote: 1 day WFH

Incorporation – Q2 2025

Contract – Permanent (subject to trial period)
